Electronic billing - Getting Started

Once you have decided that electronic billing is the right option for your private practice, it is quick and easy to set up.

If you are using Healthcode’s ePractice, you will already have access to electronic billing functionality and depending on your service level, you may also have access to financial reporting tools to help manage your private practice accounts.

If you do not currently use e-billing software, the easiest way to start is by signing up to Healthcode’s ePractice. There are different levels of service which has some useful extras for medical billing, payment tracking and reporting.

If you are using practice management software from another provider, it is likely they will offer access to Healthcode’s HC Veda electronic billing system as part of your service package so you can submit bills to private medical insurers. Ask your provider about the options.

Whichever route you choose, this is what you need to do before you start billing electronically.

1. Register with insurers
You will need to register with insurance companies to start electronic billing. Each private medical insurance company will give you a provider number which should be included on all claims you send. The relevant provider number is automatically added if you are using Healthcode’s ePractice solution.

Insurers accepting bills electronically include: AXA Health, Aviva, BUPA, BUPA International, Cigna Healthcare, The Exeter, Healix Health Services Ltd, Simplyhealth, Standard Life Healthcare, Vitality Health, WPA

2. Register with Healthcode
You can register for our e-billing service on the ‘Medical Billing’ section of our website.

Select the Register for ePractice to e-bill (or the Register for HC VEDA option if you are using a different practice management system) and ensue you have your GMC number and your insure provider numbers ready.

3. Site set up
After registration it will take between 5 – 7 working days for your site to be set up. A member of our Business Development team will be in touch to determine which level of our ePractice service meets your needs. You will then be given a demo of the service to familiarise yourself with it and receive your system log-in details.

4. Start billing
Log onto the Healthcode system from any computer that connects to the internet or use our app to create and submit invoices. Healthcode currently processes around 13,000 bills on any given working day and more independent practitioners are adopting e-billing as the fastest, easiest and most secure way to submit their PMI invoices and get paid.
